Onboarding docs people actually use
Onboarding is the process where process documentation proves itself: new colleagues need it immediately, and every gap shows up right away. And yet onboarding docs are often the deadest in the house.
Why onboarding docs gather dust
They’re written once, then never touched again — until the next person trips up. The knowledge stays in people’s heads, the docs become a box-ticking chore instead of a help.
What changes it
- Stay close to the real workflow. Write how work actually happens, not how it should ideally be.
- Make it visible who maintains it. When it’s clear who looks after a workflow, it stays current.
- Let new people correct it. Whoever joins fresh sees the gaps best — give them the chance to contribute directly.

When the whole team contributes — not just QA leadership — onboarding knowledge stays alive. That’s the difference between a document you tick off and one you actually use.
