What is ProcessCollector?
Your living process notebook: set up lean, maintained without effort, used by the whole team. Instead of burying processes in documents no one opens again, ProcessCollector keeps your knowledge current and findable.
Who is ProcessCollector for?
For teams and organizations that want to keep their process knowledge alive — not for modelling as an end in itself. You need no BPM experts and no diagramming training.
Do I need to know BPMN or process modelling?
No. ProcessCollector is deliberately built so everyone on the team can contribute and read along — no methodology background required.
What is ProcessCollector not the right tool for?
Three things, deliberately: maximum BPMN depth with formal modelling rigour and simulation — that is what classic BPM suites are built for. Continuously collecting processes out of your systems — that is ProcessMagnet. And document management — we link documents at the process, but they stay managed wherever they live today. If one of those is your core need, we would rather say so upfront.
How is this different from a wiki or Confluence?
A wiki is a blank page — it’s only as good as you maintain it, and goes stale just as fast. ProcessCollector gives your process knowledge structure and keeps it alive. See the direct comparison on our comparison pages.
Pricing & contract
What does ProcessCollector cost?
Three modes — Exploration, Transformation, Excellence — from €7.95 per user/month (billed annually). Every plan includes 25 users, so entry starts at €198.75 per month; annual billing is 17 % cheaper than monthly. Enterprise on request. Compare every feature in detail on the pricing page.
Can I try it for free?
Yes, 14 days free. You don’t need to talk to sales to get started.
Is there a minimum term?
Yes: one month on the monthly plan, one year on the annual plan. Monthly contracts can be cancelled monthly; annual contracts renew unless cancelled three months before the end of the term. Individual agreements take precedence — enterprise is arranged case by case. The 14-day trial is separate: it ends automatically and never rolls into a subscription on its own.
Do I need a sales quote to start?
No — ProcessCollector is self-service. For larger teams or special requirements we’re happy to support the start personally.
Data & security
Where is my data stored?
In the EU — your process data is processed and stored within the European legal space. Two services are the exception: sign-in runs through Clerk in the USA, error logging through Sentry (data in a European region, controlled from the USA). Both are safeguarded by the EU-U.S. Data Privacy Framework and standard contractual clauses; process content goes to neither.
Is my data used to train AI?
No. We don’t train AI models on your content. Where we use AI via our providers’ APIs, your data is likewise not used for model training under their commercial terms.
Is ProcessCollector GDPR-compliant?
Yes, processing is under the GDPR. The data processing agreement (DPA) is openly available in aiio GmbH’s Trust Center, no form. We are certified to ISO/IEC 27001.
Is my data encrypted?
Yes, your data is encrypted in transit and at rest.
Who on my team has access?
Access is role-based within your team (RBAC). Sign-in runs through Clerk — including multi-factor authentication (MFA).
Do we get a DPA and a list of subprocessors?
Yes. Both are openly available in aiio GmbH’s Trust Center — the DPA with the technical and organizational measures as an annex, plus the current subprocessor list, both downloadable without a form. Anything beyond that for your IT/security review we’ll send on request.
Integration & technical
Do we need IT resources to set up ProcessCollector?
No. ProcessCollector is self-service and ready without an IT project — you’re productive in days, not months.
Is there Single Sign-On (SSO)?
Yes, with Microsoft. Sign-in runs through Clerk including multi-factor authentication; if you use Microsoft Entra ID, your team signs in via single sign-on. It takes your IT once: the Azure consent requires administrator rights. Further identity providers are in preparation — tell us which one you need.
Can we export our data?
Your data is yours — export is available (at least as PDF). We’ll show you the concrete handover path in a conversation.
What happens to our data if we cancel?
You can export your data; afterwards it’s deleted as agreed.
Can existing documentation (e.g. from Confluence) be brought in?
Our approach is to activate existing knowledge rather than throw it away. How that looks for your specific content is best clarified together.

How quickly are we up and running?
In days, not months. Setup is self-service — no weeks-long rollout project.
Is there learning material?
Yes. In our resources we’re building an Academy with learning videos for getting started.
How do I get support?

Do you support onboarding for larger teams?
