What’s moving.

Process versions now go through a multi-stage approval, the interface only shows what you’re actually allowed to do, and you move several entries in a single step.

• Approvals in several stages. You request approval for a process version and choose who decides at each stage and by which rule, people or organization profiles, in parallel or one after the other. While the approval is running, you can add or remove deciders, and every change is logged. The full history with every decision sits in its own tab. A version under approval is locked against changes, and a notification takes you straight to the version it concerns.
• Permissions apply everywhere. Process editing, approval requests and process map saves now follow your permissions and the lifecycle rules throughout. You only see actions you’re allowed to perform. Process nodes you can’t edit are locked in the sidebar, and restricted assignments are left out of the responsibility export.
• Move several rows at once. In the hierarchical lists, the organization list and the documents area, drag several selected entries to a new parent together. In the documents area that works for files and folders alike.
• Bring forward, send backward in the process map. Nodes can be brought to the front or sent to the back, with matching actions in the toolbar.
• Org chart. Icon colors follow the element type and also appear on the tiles of the organization view. When you create a node with a name that already exists, the org chart warns you.
• RACI on more BPMN elements. The full RACI block is now available on gateways, documents and events as well.
• Adjacent processes with more context. The table shows owner, responsible and status. Entries you’re not allowed to see appear as locked rows.
• Requirements with subchapters. Child requirements appear as subchapters, with an “Assigned processes” column.
• External AI assistants. Via MCP they look up processes together with their relations and create new ones, within your permissions. Large result sets load page by page, and people and organizational units are resolved cleanly along the way.

Also:

• More stable with concurrent edits and bulk moves, more reliable search and indexing. When an action is refused, the message says more clearly why.
• Consistent wording in card menus and drag-and-drop messages, consistent colors for organizational elements, better readability and keyboard use in the approval dialogs.

Diagrams get images and a consistent look, ProcessCollector gets your logo if you want it, and external AI tools access your content via MCP.

• Images right on the canvas. In BPMN diagrams, process maps and org charts. Drag an image in from the file storage or embed it via an external link, bring it forward or send it back, resize it without distorting it, and swap it with a double-click. In the document overview, “Attached to” also lists every model that embeds an image, so you can always see where it’s used.
• One BPMN style for the whole organization. In the Admin Center you set centrally how BPMN elements look: color, font color and line width per element. It then applies across the organization and shows up right away in the modeler, palette and preview, instead of every diagram looking different. AI-assisted process creation in the Collector follows it too, so what it generates matches your standard from the start.
• External AI tools via MCP. External AI tools now access your content securely via MCP. Sign-in works via OAuth, and your permissions apply: the tool only sees what you’re allowed to see. That way you work with your process data from the assistant environment you already use. A setup guide will follow.
• Details on hover. A marker on a BPMN node shows that there’s additional information. Hover over it and the details appear in a flyout. Open linked targets in a new tab when you need to. A node’s attachments can be viewed and opened in a compact view right on the element.
• A tidier canvas. The minimap now sits at the bottom right next to the sidebar. Where two connections cross, a small bridge carries one over the other.
• Search respects visibility. It shows only content you’re allowed to see.
• Your own look. In the Excellence mode you can add your logo and brand color. The app, diagrams and PDF exports then appear in your look, and you can switch back to the standard look at any time.
• Export the audit log. It can be exported as CSV or XLSX, and additional columns make every entry uniquely identifiable.
• Organizational profiles with a cover image. They stand out much more in the overview.

Also:

• More stable in all modelers: saving, undo and redo, and loading diagrams behave more reliably. Saving is blocked while an image is being placed, and labels stay in place at every zoom level.
• Tooltips appear in the collapsed sidebar, and the dashboard search stays easy to use at every zoom level.
• Polish on lists, tables, sidebars and previews, better accessibility and clearer error messages.

ProcessCollector looks new and is organized differently: account settings in the user menu, documents right on the model, and processes that only the right people can see.

• A new look and feel. Language, theme, organization management, API keys and the Admin Center now live together in the user menu at the top right. Notifications, feedback and the online help are right next to it in the Quick Bar. The favicon matches the new look.
• Assign processes to audiences. Anyone who isn’t a member of the audience sees neither the name nor the details, not in search, lists or links either. A new admin screen handles activation and member management.
• Documents and references right on the model. BPMN nodes, org chart nodes and process map nodes now have their own area for them, including SharePoint references. Attachments and references share one overview, sorted by whether they come from the process or the model. Any web link now works as a reference, and the PDF export includes the model’s documents and references, neatly organized.
• Process map assignments are merged and automatically mirrored to the other side.
• One trash can in the editor. It removes any selection from the diagram. Permanently deleting from the master list stays with managers, via a second trash can, and that can be undone too.
• Locked instead of blank. Elements you aren’t allowed to see now appear in the diagram as locked rather than as an empty placeholder.
• Archive tabs. Archived items have their own tabs, and you move them to the archive straight from the lists.
• Navigation. The side navigation collapses and expands, and mobile sections are grouped. After signing in you land on the page you originally opened, and links identify the organization unambiguously.
• The Collector fills in the department. AI-assisted process modeling now sets the department as the lane owner.
• AI assistant. When content isn’t visible to an audience, it answers clearly instead of running into an error. Chat sessions are more stable, even with many requests at once.
• Delete organizations in a controlled way, with clearly stated prerequisites. When a trial ends, a tidier notice dialog lets you know.

Also:

• Delete and Escape respond to the keyboard on the first press.
• Saving models and versions is more stable, and search more reliable.
• Polish on the header, logo alignment, table widths, empty states and text blocks. You also get more precise warnings when leaving with unsaved changes.

Processes can now be exported as a PDF: for the audit, for onboarding, or for anyone who doesn’t look things up in ProcessCollector themselves.

• The workflow as a diagram.
• Everything that explains it: RACI assignments, organizational units, resources, requirements and linked documents.

Imported processes arrive tidier, the model gets better connected, and no organization can end up without an admin by accident anymore.

• The Collector helps with the layout. The diagram from your document is now laid out automatically, notes are placed better, and results are more consistent. The proposal isn’t always perfect yet, but every generated element can be refined by hand afterwards. Managers now have access too.
• Processes know their predecessors and successors. You link them right in the diagram, and the process detail page shows what comes before and after.
• Child elements at a glance. The section listing direct child elements used to exist only on organizational profiles. Now it’s on locations, resources, requirements and processes too.
• Your AI Expert stays where you put it. Move the panel freely and resize it. Your browser remembers its position and size; clear the site data and you’re back to the default view.
• Change roles right in the subscription area. Executives can now change a member’s role there. The last person with admin rights can’t demote themselves, so every organization stays manageable.
• Settings are now the “Admin Center”. Redesigned, and showing the plan you’ve actually booked, including the billing cycle.

Also fixed:

• In the invite dialog, search text stuck around, buttons were hidden, browser autofill got in the way, and an error message was wrong.
• Fully deleting an organization now works reliably.
• Minor display issues with pinning, favorites and the empty org chart view in dark mode.
• The interface now calls the Collector by its name everywhere.
